We love setting up at parks, but most parks require a permit to host a party on site. Please be sure to acquire necessary permits prior to your event. Also, parks are first come, first serve so get your spot early in the day. Also, it is your responsibility to determine if we can stake the tents or if you’ll need to rent our sand bags to hold down the tents.

Do you require a deposit?

To secure a reservation all you need to do is call our office with a credit card or debit. This process would hold the Rentals for your date. Once you submit your reservation the cancellation fee is 50% of the entire order amount.

Does the price include set up and delivery?

The prices listed does NOT include the set up/delivery/break down fee. Remember prices do not include sales tax. Please ask about delivery fees for more information. When you pay for the delivery option, this covers us setting up and breaking down tents and inflatables only, if those items are on your order. For pick up, please have tables and chairs folded and stacked before the driver arrives.

Game day in Kapahulu is all about screens, snacks, and shade. Keep the sightlines clear, put drinks away from food, and set a single power route for projectors or TVs. This guide outlines counts, three viewing layouts, and a timeline. We’ll lean on A & B Party Rentals for pop-ups, banquets, chairs, fitted linens, string/task lights, cord covers, and backdrop frames (team photo corner!).

Quantities (Seats for 70–80%)

Seating: Rows/benches facing the screen; 4’ center aisle.
Tables: Snack bar + separate drink table to split lines.
Shade: Pop-ups positioned to avoid screen glare; weight every leg.
Lighting: Task lights on food, dim around the screen.

Viewing Layouts (20, 40, 60 Guests)

Layout A: 20 Guests

One pop-up over seating; screen under eaves; snacks left, drinks right.

Layout B: 40 Guests

Two seating pods angled to screen; dual beverage points; cocktail rounds at back.

Layout C: 60 Guests

Three short rows; 4’ aisle; cord cover to screen; mic corner for halftime games.

Food, Cords & Comfort

Pre-portion snacks; keep hot items in lidded chafers; use enclosed dispensers for sticky-free refills. A & B Party Rentals supplies cord covers, fitted linens, and task lights that make game-day safer and cleaner.

Timeline (2 Weeks → Pickup)

2 Weeks: Headcount; screen placement; share yard photos with rental rep.
1 Week: Reserve pop-ups, seating, tables/linens, lights, dispensers/chafers, cord covers.
2–3 Days: Confirm delivery and power plan; test screen at dusk.
Day-Of: Set shade first; screen second; snacks last. Announce cord path.
After: Stack rentals; bag linens dry; coil cords in one bin.

How much in advance do is required to reserve an item?

We do not have a cut off time for reservations, we take reservations as late as the day of your event for any last minute needs, upon our availability. It is highly recommend a minimum of 2 weeks prior and ideally 2 months in advance to ensure best rates and open available.

What surfaces do you set up on?

We can set up on grass, concrete, and asphalt. We do not set up our rentals on mud or sand. If you’re renting a tent, inflatable game or bouncer then you would have to rent sand bags.

Can we see a copy of your contract and safety rules?

Yes, you may review our safety rules upon request by emailing us.

When do you set up?

That depends on how many rentals we have that day. Generally, we ask the Customer for a three hour delivery window that best works for them. Also, when your party ends, we may come up to two hours after the end time if we are delayed.

Can we pick up rental items from your location?

Yes, we offer Pick up & Drop back by the customer. The only items we do not offer that for is for Inflatables. Pick ups are scheduled for a specific time for pick up & drop back as our staff are in & out of our warehouse. Pick ups typically are done on Fridays For Fri & Sat Rentals. Any other day of the week of your Reservation, your pick up will be scheduled on that day or the day before depending on our availability. There is no minimum order required, and there is a $35 restocking fee that covers staff to be scheduled for your pick up & drop back of any size order that we accommodate.

How big are the tents?

We currently have tents that measure 10×10, 10×20, 10×30, 20×20, 20×30, 20×40, 20×60, 30×60 and 30×80.
